Work Order Management
The Work Order
System (WOS) forms the heart of the BEIMS system. It provides an online
computerised method of recording job requests, delegating tasks and
tracking costs involved with facilities work. This provides an accurate
means of costing, analysing and managing a site’s work.
A BEIMS Work
Order can be easily created and dispatched in less than 15 seconds.
You can then:
• monitor the progress of the work order
• be informed by BEIMS of scheduled compliance inspections
• provide your Finance Department with up to the minute costing
The Work Order
System is fully integrated with the Planned Maintenance module. Work
Orders can therefore be generated for all types of work including both
planned preventative and statutory maintenance, as well as ad hoc /
breakdown work and capital projects.
The Work Order system also fully integrates with the asset register and
allows the recording of maintenance costs either against a specific
asset or for general maintenance services which have not been tied to an
asset.
The WOS has been developed and refined to work in an efficient manner
and no data ever needs to be entered more than once. Various options
such as the use of barcodes can greatly add to processing efficiency.
When combined with BEIMSWeb, the BEIMS Work Order System results in one
of the most efficient Work Order Management systems on the
market.
As in all BEIMS
modules, extensive reporting is standard, using the very flexible and
easy to use Report Generator.

FUNCTIONAL OVERVIEW
Work requests
for unscheduled maintenance can be submitted either via the BEIMS Web
Remote Requesting System, or with traditional means such as fax, phone
or email.
Maintenance
staff have the option to accept, reject or defer requests and BEIMS can
provide automated feedback to requestors via such means as BEIMSWeb RRN.
Work orders can
be dispatched automatically to Tradespeople via Printer, Fax, Email, SMS,
PDA's (via pocketBEIMS) or Web (via ContractorWeb).
Job status such as 'outstanding' or 'in progress', can be assigned and
priorities set. This helps to provide a total picture of maintenance
commitments and the information used to schedule time, staff and
materials in an efficient manner.
Work Order
details such as actions and times taken, costs, purchase and stores
details can be
either entered into the system directly or whilst on-site using a PDA (pocketBEIMS).
Alerts can also be set to monitor outstanding or incomplete work.
Tradesperson
details are easily managed and a Work Order can be customised to act as a Purchase Order for a
sub-contractor and used to ensure all recipients are fully aware of site
or organisational rules, policies and OH&S standards.
